Therapy is an opportunity to slow down, reflect, and reconnect with yourself. I work with women throughout Virginia via secure, HIPAA-compliant telehealth sessions designed to meet your individual needs.

    *Please note that Medicaid holders cannot pay out of pocket for services as there may be a risk of losing coverage. For this reason, Dr. Ellis cannot work with clients who carry Medicaid.

    Insurance billing is facilitated through Headway, a third-party platform that partners with mental health providers to streamline eligibility checks and claim submission.

    Sessions are provided through my private practice, while Headway handles the insurance billing process on your behalf.

  • If I am not in-network with your insurance plan, I can provide superbills for potential reimbursement. Many self-pay clients are able to receive partial reimbursement for therapy sessions through their insurance company’s out-of-network benefits.

    Payment Options

    • Payment is due at the time of service.

    • I accept all major debit and credit cards.

    • HSA and FSA cards are also accepted
      Note: If you plan to use an HSA or FSA card for therapy, please check with your provider to confirm coverage for mental health services and verify any documentation requirements.

    • You’ll receive a receipt through your secure client portal after each session.

    Out-of-Network Reimbursement

    • I provide a superbill (an itemized receipt) that includes all information your insurance company needs to process your claim. Superbills can be downloaded directly from your client portal for easy submission to your insurance provider.

    • Reimbursement rates vary depending on your individual plan.

    • Most insurance companies require that you meet an out-of-network deductible before they begin reimbusement.

    • Once met, they typically reimburse you a percentage of each session fee.

    • It’s always a good idea to contact your insurance provider before starting therapy to confirm:

      • Whether you have out-of-network mental health benefits

      • The amount of your deductible and how much you’ve met

      • The percentage they reimburse per session

      • Whether you need preauthorization or a referral

      💡Tip: When you call, ask for “Behavioral Health Outpatient Out-of-Network Benefits.” Write down the date, representative’s name, and reference number for your call.

    Helpful Resources

    • Your appointment time is reserved specifically for you.

    • If you need to cancel or reschedule, please provide at least 24 hours notice.

    • Cancellations made with less than 24 hours notice or missed appointments will be charged the full session fee.

    • Under the No Surprises Act, you have the right to receive a Good Faith Estimate (GFE) outlining the expected cost of therapy services before you begin.

    • Your GFE includes:

      • Session fees

      • Anticipated frequency and duration of therapy

      • Any additional administrative fees (if applicable)

    • If your actual costs exceed the estimate by more than $400, you have to right to initiate a dispute resolution process.

    • You’ll automatically receive a GFE prior to your first session and may request an updated version at any time.
